Specification Checklist
FSC, PEFC, or both (project-specific). State whether either is acceptable.
CoC certificate number, supplier valid certificate, invoices showing claim, monthly reconciliation.
Country of harvest and geolocation data per EU Regulation 2023/1115 (effective 30 December 2024).
Specify acceptable recycled content percentages if substituting for FSC/PEFC.
What happens if certified timber unavailable (project-specific tolerance).

SUSTAINABLE TIMBER PROCUREMENT All timber and timber-based products supplied to this project shall meet the following sourcing requirements: Acceptable certifications: - FSC 100%, FSC Mix Credit, FSC Mix 70% (acceptable) - PEFC certified (acceptable as alternative to FSC) - Recycled timber with verifiable traceability (acceptable) Evidence requirements: - Supplier shall hold valid Chain of Custody certificate (FSC or PEFC) - CoC certificate number to be visible on every invoice - Monthly reconciliation: volumes claimed vs delivered - Spot audits: contractor reserves right to audit supplier premises EUDR compliance (per EU Regulation 2023/1115): - Country of harvest declared on every delivery note - Geolocation data (latitude/longitude or polygon) of harvest area - Due diligence statement reference number - Confirmation of legal harvest and zero deforestation since 31 December 2020 Documentation submission: Quarterly to project sustainability champion. Final reconciliation at practical completion. Default position: If FSC or PEFC certified material unavailable, alternative submission required for project sustainability champion approval. Uncertified timber acceptable only with written approval and offset. Penalties: Supply of uncertified material claimed as certified shall constitute breach of contract, with rectification (replacement) at supplier expense.

Common Errors
Specifying "sustainable timber"
Correction: Vague — define acceptable certifications (FSC, PEFC, or both) explicitly.
No EUDR compliance
Correction: EUDR is mandatory from 30 Dec 2024. Geolocation data required for all timber. Specify in tender.
No evidence verification
Correction: CoC number on invoices is necessary but not sufficient. Specify monthly reconciliation and audit rights.
No fallback position
Correction: Specify what happens if certified material unavailable. Without it, suppliers will substitute uncertified.
